Import an event from a spreadsheet

EVERYONEUpdated 23 Sep 2026·3 min read

If your event already exists as a spreadsheet — a task list someone built by hand, or a master plan from a client — you don't have to re-type it into the wizard by hand.

When to use import

Import is the right choice for a one-off event that doesn't match any of your built-in event types, or when someone hands you a finished plan and re-creating it as a Custom Template isn't worth the effort for a single use. If you expect to run the same kind of event again, a Custom Template is usually the better long-term fit.

How it works

On Step 1 of the New Event wizard, choose Import from spreadsheet and download the blank file. It has three sheets. Event Details holds the name, date, type, guest count and budget. Buckets lists your workspace's buckets for reference. Tasks has one row per task: bucket, task, description, assigned to, start date, due date, status and parent task. Dates can be real dates or offsets from the event date, such as "8 weeks before". Upload the filled-in file and the wizard pre-fills the event from it.

Imports skip the Plan and Team steps. The spreadsheet already carries its tasks, so the wizard goes from Details straight to Review, where you can check everything came through before anything is created.

Who gets each task

An import doesn't assign by skill. Each task goes to the person named in its Assigned To column, matched by name against your team. If a name doesn't match anyone, the task is left unassigned and the wizard lists it as a warning, so you can fix the name in the file or assign it after the event is created.

After the import

Once created, an imported event works like any other. Every task can be edited, reassigned, bulk edited or reorganized, and you can add workstreams to it from its Settings page.
