Add a real or placeholder member

The Team page lists everyone in your organization. Owners and admins add people in one of two ways, depending on whether the person needs to sign in.

Invite someone to sign in

Click Invite and enter their name and email, pick their skills, and choose Member or Admin. They get an email with a link to set up their account, and they appear under Pending invitations until they finish. Only an owner can make someone an owner, and that happens after they've joined.

If they already have an account with another organization, the email signs them in and they click Accept invitation. They keep their other organizations and switch between them from the account menu at the top right.

Manage pending invitations

Invitations expire after 7 days and are marked Expired. Click Resend to email a fresh link and restart the 7 days, for example if the email went to spam. Click the × to revoke an invitation: the link stops working and you can invite them again later.

Add a placeholder

Click Add placeholder for someone who won't sign in, or hasn't yet: a volunteer lead, a board member, a teammate you haven't invited. Give them a name, an optional title and their skills. Placeholders have the Member role and no login.

Placeholders make assignment work from day one. Tasks are assigned to placeholders by skill exactly as they are to real members, so you can plan a whole event before everyone has an account.

Remove someone

Edit their row and click Remove from team. They lose access right away, but their tasks, events and notes stay put under a placeholder with their name, so nothing goes missing. Reassign that work, then delete the placeholder if you no longer need it. Only an owner can remove another owner, and you can't remove yourself.

Deleting a placeholder unassigns its tasks. It's blocked while the placeholder still owns an event (hand it off in the event's Settings first) or wrote task notes.

Keeping the roster tidy

Tiles at the top of the Team page count active members, pending invitations, placeholders, and people with no skills set. Anyone with no skills can't be assigned tasks automatically, so that tile is worth keeping at zero.
